Description

Wilmot Union High School has an opening for a 9-month Administrative Assistant/Receptionist to serve as an administrative assistant to the high school leadership team and as the receptionist for the high school office. Responsibilities will include providing administrative support to the high school leadership team, answering phone calls made to the general high school office number, and greeting and assisting all visitors of the high school. Other specific duties include:

1. Manage incoming calls, visitors, students, faculty, and staff while performing clerical duties; maintain visitor log-in and badges; generate school IDs and issue parking permits.

2. Enter, access, or retrieve educational data or information; maintain educational records, reports, files,forms, or correspondence; perform research tasks.

3.. Provide backup support for the high school office to include assisting with attendance and substitute teacher and para-professional assignments.

4. Process student fees and payments.

5. Take outgoing mail to the post office.

6. Assist the Associate Principals with aspects of student management.

7. Maintain student information boards throughout the building with current events.

8. Handle and maintain confidential (federally protected) student information, ensuring the privacy of this information.

9. Complete other duties as assigned by the supervisor or the building administrator.

Qualifications

EDUCATIONAL REQUIREMENTS:

Minimum: High School Diploma or Equivalent

Preferred: Associate Degree in Applied Science — Administrative Assistant; documentation of equivalency due to past experience may be accepted.

SKILL REQUIREMENTS:

• Student-focused with an understanding of the developmental needs of students and the ability to quickly establish a positive rapport with children, staff and the community
• Able to work directly with students and staff in a school setting which may include handling situations under pressure with diplomacy, tact, privacy, confidentiality and professionalism
• Positive and energetic person with strong organizational skills and the ability to multi-task and deliver positive customer service
• Able to work under the direction of administration to complete clerical tasks utilizing computers and office technology
• Knowledge of computer operations with focus in the student database software (Skyward) and the Google Suite
• Must be dependable, be able to take direction from supervisors, and perform a variety of job duties effectively
