Job Description

Overview:

We are looking for a Brand Assurance Specialist to serve as the key liaison between internal teams and external licensors to manage the approval process for licensed toy products. This role ensures that all submissions — from early design concepts to final production samples — meet brand guidelines, visual standards, and timelines. The ideal candidate is detail-oriented, highly organized, and thrives in a creative, fast-paced environment where clear communication and accuracy are essential.

Key Responsibilities:
  • Coordinate and manage the end-to-end licensing submission process, ensuring all creative assets are delivered on time and in the correct format.

  • Review and compile design concepts, packaging artwork, and production samples for submission to licensors.

  • Verify that all submissions adhere to licensor style guides, brand standards, and product approval requirements.

  • Accurate tracking all submissions, feedback, and approvals using automation or integrations to track statuses and deadlines in real time.

  • Communicate feedback from licensors to internal teams and follow up on necessary revisions or resubmissions.

  • Maintain organized records of approvals, artwork versions, and licensor correspondence.

  • Build and maintain positive working relationships with licensors and internal cross-functional partners (Design, Product Development, Marketing, and Sales).

  • Support the creation of presentation decks, visuals, or line reviews for licensor meetings.

  • Partner with design and packaging teams to ensure all final product assets align with approved designs.

  • Assist in updating and maintaining internal brand reference materials and digital asset libraries..

Qualifications:
  • 2–4 years of experience in licensing, product approvals, or creative coordination (toy, entertainment, or consumer goods industry preferred).

  • Strong understanding of the licensing approval process and familiarity submission platforms (e.g.,Discord, etc.) and able to automate approvals

  • Excellent attention to detail, organization, and follow-through.

  • Strong communication and collaboration skills across departments.

  • Proficient in Microsoft Office, Adobe Creative Suite, and/or project management platforms (e.g., Monday.com, Asana, Smartsheet).

  • Ability to manage multiple projects in a deadline-driven environment.

  • Passion for creative products, storytelling, and licensed brands.
